We are looking for an IPaaS solution - the use cases are typical for hybrid-type integrations. That is, on-premise as well as cloud sources and targets. The scope of these use cases is enterprise-wide data sharing and transformation, along with cloud integrations. Systems involved would include Salesforce, Workday, Service Now, DB2, MySQL, PostgreSQL, among others.

Workato has been adopted by our entire organization; Sales, Marketing, Customer Success, IT, HR, Finance, PD, and more. The major business problem that Workato solves is connecting Quick Base (our platform) to other software platforms used by the above-mentioned departments, such as NetSuite, Zuora, Outlook, JIRA, Marketo, Box, Paylocity, and others that have open APIs. These connections allow us to have sources of truth in QB or to grab data from other sources of truth, like the financial platforms we use, and to then use QB to analyze that data. In addition to that, Workato is leveraged to connect QB to QB so that data can be passed seamlessly and instantly between applications.
  • Workato is very easy to pick up and use. You'll be creating complex recipes within days. The UI, workflow, formulas, and other features are very intuitive.
  • Workato is very powerful. The native connectors it has to hundreds of software already, allows users to make substantial automation and integrations, but the HTTP connector makes it seem like it has no boundaries. If you are using software that isn't a native Workato connector but it has an API, you can use their HTTP connector to make calls to and from.
  • Workato is always making improvements to its platform. This includes adding more connectors, more features, updating current connectors to be more powerful, or expanding on other tools it offers.
  • I have no suggestions for improvement at this time.

Currently, we've implemented Workato in the XPO Last Mile client data integration department, however it is slowly spreading across the other divisions of the enterprise as they learn about it. For Last Mile, Workato addresses gaps in our enterprise platform and provides seamless integration for internal or B2B use cases leveraging the APIs exposed by both parties.
  • Most use cases require no code! Imagine connecting 2 applications without writing a single line of code...it almost feels futuristic
  • Not having to download anything locally to use the product. Workato runs fully out of the browser
  • The number of out-of-the-box connectors that offer turn-key solutions to business problems
  • Customization has a bit of a learning curve associated with it. Be prepared to expand your programming knowledge for any deep customization, however having the option to customize is critical
  • Online training material is out there, but can be a bit cumbersome to read through and retain. More straight-forward online training material would help 10 fold
Workato outfits our client data integration space perfectly. We're often tasked to create custom integration products between us and our vendors, and being able to provide a solution in the time-to-market pace that Workato offers often surprises our vendors. Low cost, on budget, on time...Workato is the secret sauce.

Workato is primarily being used as an automation and integration tool. We used it for the following use-cases:
  1. Foreign currency rate integration and triangulation. We are receiving an XML file from our parent company on a daily basis and we integrate the rates into Netsuite. As an additional requirement, we have to perform a currency triangulation for some currency pairs which don't exist on the source file. Workato was able to perform the calculation with a simple formula.
  2. Customer on-boarding from Salesforce into Netsuite.
  3. Transfer XML file from Netsuite to bank sFTP with sign and encrypt. One requirement is to message the user through Slack whether the file transfer is a success or failure.
  4. Integrate cash payments from Excel into Netsuite by creating a callable recipe. With the callable recipe, we were able to use our existing Excel tools without a complete redesign. We simply changed the ERP API connectors that we use to bring over payment records into our new ERP system.
  5. Using Slack workbot to get customer information from Netsuite. Users may now get customer balances or transactions through Slack by just typing in keywords. They no longer have to log into Netsuite. This is particularly helpful if a customer support person is talking with a customer over the phone.
  • Process automation with multiple SaaS applications. It's easy to move records from one SaaS application to another.
  • User-friendly. Users need minimal technical knowledge to start using Workato. The workflow-oriented user interface makes the recipe easy to understand. The recipe is described in plain English and not in some technical jargon.
  • It has a look of built-in functions which are particularly helpful for non-technical users. I've seen functions in Workato which are usually not readily available in some other tools like.
  • Slack workbot integration. Easy to create recipes and Wizard-based recipe creation is available for beginners.
  • Technical support is 5 out of 5. They are always available on the chat room whenever you need them.
  • I would be nice to have a more automated deployment process like automatically changing connections when a recipe is deployed into prod.
It is well suited to multi-step process automation but not an RPA tool. Also not for big data, I think.

Workato has been fantastic in helping us automate workflows and connect our systems. It's just a fantastic 'ace' in the hole that we continually pull out when we're scratching our heads on a solution. I have yet to say no to the question 'can we do this with Workato?'

Our Clients:
In the 8+ years I have been doing professional services and consulting, I wish I would have had Workato with me the entire time. As a business analyst by trade, the ability to gather requirements and show a client a POC by the end of the same day (without consulting my development team!); I have felt like my skill-set has doubled since using Workato. We rarely take on a project these days where integration to another system isn't a critical requirement. It's been wonderful to have a tool in our box that can solve what can sometimes be showstoppers in a project from an effort and budgeting perspective. We've solved all sorts of problems, from things as simple as keeping document links from Box in sync between multiple web apps, to deep connectivity with on-prem apps that had been in IT's backlog for a decade.
  • Truly no-code: I am not a developer, but can now do the work of two.
  • Enhancing their product: constant updates and improvements.
  • An easy and intuitive UI.
  • Fantastic logging.
  • I'd love to see more a-la-carte pricing options.
  • Some kind of email trigger/parsing capability is a must.
I think Workato is best suited within IT organizations who want a single tool to absolutely crush their backlog. It's really easy to see the value when you know you can knock out projects 1-xx at a stable monthly cost. It is sometimes challenging to recommend when the user clearly has a need, but only a single need, and not much clout with IT or personal budget to draw from.

I personally use Workato to augment my systems and really make my workday easier to consume. From automation of alerts across multiple systems to keeping tracking of my-todos. No one system can do it all, and Workato doesn't mind what you are using, it just wants to make them all work together. I use it to manage projects, roadmaps, and personnel development. From Quick Base to Slack, I have a full-service helper to get my job done
  • I find the User Experience to be extremely easy to understand and get up and running with.
  • Key connectors, and the right set of actions. It's rare to find things they don't have that I need.
  • Features are incredibly well polished. Long-running steps, code snippets, a generic HTTP connector.... all of which are easy to understand and implement.
  • Navigation once you are building an app. It's always my header!

The business applications team uses Workato to develop recipes to sync data between NetSuite, Salesforce and Concur. Our stakeholders are primarily the Customer Success and Finance departments. We use it as a real-time webhook listener. We send outbound messages from NetSuite and Salesforce to the webhook recipe which in turn processes the data, transforms it and syncs with other systems.
  • Extremely user-friendly and intuitive UI and we could get on-board with the recipe creation process in no time.
  • Lot of out-of-the-box connectors that really makes life easier for recipe developers.
  • Great logging functionality that stores data up to a year depending on the license and settings.
  • Amazing technical support: Whenever we had some specific questions on Workato, the solution engineers at Workato were pretty quick in responding and gave really good inputs on a workaround.
  • Slightly limiting in functionality: The recipes can be limiting in some cases. For instance, we do not have a direct way to update a variable in the recipe at various points.
  • Filtering on logs: We have standard filtering on logs based on the job status and date of run. However, It would be extremely useful to filter on logs based on various custom columns that we can create.
Extremely well suited for straightforward integrations between systems (where a lot of data transformations and lookups are not involved). Due to its very user-friendly UI, it can be used by end-users too.

We utilize Workato for nearly all job functions within our organization. As a reseller and integration specialist shop, we also implement and use Workato with nearly every client we interact with. It connects our CRM and PM tools to our ERP. We create automations within our systems and automatically transfer files between clients and ourselves, as well as internally. All of our consultants are well versed in the product and can support both internal and external recipes.
  • Reduces time and overhead by thoroughly connecting systems and driving workflow.
  • Allows seamless interaction among business units, saving headaches and painful hunting of data.
  • Increases visibility among executives as you can consolidate many systems to one, creating executive level summaries.
  • The interface is extremely user-friendly, but the integrations might require some architecting. The simplicity might give a false sense of confidence, which could lead to failing recipes, and unsatisfied clients. Utilizing a partner can significantly increase effectiveness and time to market, which could save money overall.
Workato is well suited anytime you've got data that needs to be connected or workflows that need to be triggered. Overall, it's an extremely favorable tool that cuts down on the cost to integrate major enterprise systems vs. traditional integration development efforts. It really does allow for a single 'source of truth' or 'hub and spoke' model among disparate systems.

Workato is used to connect our core CRM (Salesforce) with Xero (for accounting) and Harvest (for time tracking). It enables us to update client and project information once, and have the information disseminated across our operational systems while bringing back into Salesforce key data needed to serve our customers better. As a systems integrator ourselves, we've also implemented Salesforce into our client sites where we can not only create initial integrations but teach our clients how to add, manage, and improve their integrations in-house.
  • Easy to use interface allowing for non-technical people to create recipes for integrations.
  • Flexibility to build your own connectors in the event that an off-the-shelf connector doesn't exist.
  • Strong support despite the timezone difference (we're based in Australia).
  • Still growing out their library of pre-built connectors, sometimes feels other iPaaS providers have more available.
  • When a recipe fails due to poor data inputs, unable to clear out the failed job (the only option is to have it re-run successfully).

We use Workato to integrate with customer ERP software, marketplaces, transport partners, and even to modify internal data from within our own software (extract, modify, insert). Integration is the key to a successful enterprise. All our information is updated in real-time across all software. Workato made it easy for us to quickly adopt integration and make it a key component of our value offering.

From a tech perspective, I wanted the integration to be at arms-length and not connected to the software we're using internally. This way we can handle processing/transformation, move data into other software for analysis, and use third-party software more easily without impacting our core.

Workato is being used by the central IT/development department of the company and is an invaluable tool to bridge the gap between many pieces of software that Jumia uses for various purposes. We use Workato for a variety of situations, like listening to specific data events in some applications and triggering the appropriate actions, either in the same application or others or even in several applications at the same time (for instance, some JIRA changes trigger Zendesk updates and Slack notifications). We also use Workato to perform regular automated tasks to detect information patterns that are meaningful to the company for various reasons (for instance, some JIRA tickets are checked regularly to calculate performance KPIs, used in dev team's appraisals). Another use is to uphold the proper workflow and promote communication between teams (when certain things happen in Zendesk tickets, other teams are involved in the ticket automatically and Slack notifications are triggered). We have many many of these situations being covered by Workato recipes and using it doesn't occupy our dev teams, someone with only a fair knowledge of programming logic can use Workato's powerful yet simple interface and features.
  • The interface is brilliant. It doesn't take a programmer or engineer to use it, although it helps to have a good sense of logic and a general understanding of how APIs and Workato itself work. It's intuitive (very simple to learn and use) and robust (I can't remember any recent issues with the interface).
  • Workato connects tons of different software applications and does so brilliantly. New applications keep getting added. And if for some reason one is not supported yet, we still have the ability to use generic REST to connect to its API and get the job done.
  • Workato keeps rolling out new features and interface improvements and above all, with no impact whatsoever. It's always improving and no negative impact is ever felt. It's a constant "Hey, this is new!" and that is very cool.
  • Workato support is top notch. If you do have an issue or question, they're always available for a workshop, call, email or chat, and issues get tackled. Technical issues, however, are very rare, the platform is very robust and we can count on it for important functions. And if something comes does come up, the reporting and monitoring side of things are also effective, with emails being sent and lots of log details to analyze whatever issue occurred.
  • User opinions matter. Workato does listen to its users. Over time they have implemented lots of user suggestions, including some I had supported as well. That's what listening to the customer is all about.
  • Most of the really important features have already been tackled over time (at least the ones I'm interested at the moment). But there are always a few details I keep hoping they release, like commenting out specific steps (or entire blocks of code) for debug purposes, usage thresholds per recipe, copying sections from recipe to recipes, that sort of thing. But nothing I'd call major missing features.
Workato is brilliant to make separate applications work together without much effort or specialists being needed. When specific events on software A should trigger actions on B (or more) and you want that to happen without any development or big budgets, that's where Workato comes into play. It's a great help if you want tasks automated, communications flowing and data synced between different applications.

We use Workato mainly as a way to integrate the different systems we have. Our strategy is based on finding the best possible solution for every problem or area we have, then integrate them. Examples of these problems are the billing process where taking hours logged in different applications (such as Jira, Daptiv, Harvest, etc.) and converting them into invoices, can take the information from Project Management, Accounts and Finance. Another example is to have information flowing to the right person at the right time, like identifying the problems we have in our processes and automating reminders or actions requests using Workato and Slack.
  • No code builds of integration processes.
  • Customer technical support.
  • Extending their connectors through SDKs
  • Debugging a recipe can be painful. I have spent a lot of hours with customer support helping me and teaching me how to debug the recipes, but I think they could do a better job by coming up with some kind of debugging feature.
When you have a strategy like ours, to find the best possible solution for different areas or problems, such as HR, Finance, Sales/CRM, and marketing, you need to integrate them and make them work as one system. I think that if you have an ERP, such as SAP, Workato is not going to be for you. ERPs can't do everything and you always end up using other solutions.

Workato is both instrumental in core processes within Sales, Marketing, and Human Resources (CRM / 3rd Party Tools Integration) as well as a tool in developing proof of concepts that integrate our core platform with other systems (Salesforce, Dropbox, for instance), and leveraged by our solutions consultants and best practices teams.
  • Clear interface for intuitively creating powerful work flows
  • Insight/visibility to the status of jobs run, including key information at all steps useful for troubleshooting
  • support for a large array of relevant connectors, with flexibility to customize if not available
  • Customer support - responsive, but often not equipped to help efficiently identify root cause of issue. Need to improve escalation to technical resources and turnaround time
  • Recipe organization and sharing. Can be challenging to copy recipes, or grab recipes from publicly available site. There are often dependencies and errors that have vague descriptions.

  • Management of two-way integrations. It's often a bit of a struggle to create the appropriate fields in both systems to ensure redundant jobs are not run nor infinite loops created. That said, Workato does provide some documentation to counter this.

We've solved quite a few business problems with Workato, that have made development at least 3X faster. We’re deeply integrated with the Shopify API, Twilio, Slack and Gmail. We use Workato to manage purchase orders, stock inventory, track refunds, send invoices, issue refunds, and many more business applications that Workato makes very easy. Workato has allowed our product analytics team to run reports on various user engagement statistics, order volumes, and much more. Recipe Ops to manage error handling and monitor that all our recipes are fully functioning is a critical feature that makes Workato a step above any competitors, and the obvious choice for API integrations.
  • The Workato product interface is brilliantly thought through and designed. The learning curve for first timers is easy enough to get started and build useful things, and Workato really shines in their ability to handle complex triggers and interactions. Workato allows people to build software apps so much faster than by coding each functionality.
  • Workato has fantastic documentation, making things accessible without any holes in the product. The product just works, never has any bugs, never lags, and just generally allows us to see and change exactly what we need to.
  • Workato has an absolutely amazing support team. We tried the free version for a while, then realized it was the single most important software tool we have, and we upgraded. The support at the paid tier is A+, seriously the best from any company we've worked with. Feels more like a good friend then a support rep.
  • Workato really doesn't have any draw backs I can think of. The only issues we’ve run into have been from lack of integration depth from the specific platform applications.
Workato is great for small teams looking to move fast, going through quick product iteration and testing. However, it's also powerful enough to be a perfect tool for larger companies who want to build more stable products by minimizing the lines of code you need to develop and maintain.

I think it would be less appropriate if you don't have a need to integrate into other applications and are building something 100% in house. This is a rarely the case, but if it is I don't know if Workato makes sense.

We purchased Workato only a few months ago.

We targeted it for the integrations and automations for our business processes for sales and manufacturing, connecting between NetSuite, Salesforce and JIRA.

It is very straightforward to set up integration via Workato, so we ended up connecting more applications to it, including some in-house applications with REST APIs.
  • Recipes are powerful and yet simple and straightforward. They give all the programming concepts in a sleek user interface: conditions, loops, try/catch, refactoring.
  • Rich integrations. Workato supports many applications out of the box, and where it isn't, it is very simple to connect with HTTP REST APIs.
  • Logging. Workato has a long job retention, and you can see the input, output and timing of each step. VERY useful for debugging.
  • Centralized logging and search. It could be helpful to have all the job history across all recipes in one place, and to be able to search on it
So far we did not come across any integration/automation that we needed to implement and ended up doing on another platform.

The platform is very powerful and yet simple to use, an unless you have custom HTTP connectors, the only thing left for you to do is implement the logic.

I guess that if you have a very complex and long logic you'd think implementing the automation in a script and run it somewhere else. But since Workato connects to standard applications very well, it just beats the learning curve of figuring out how to connect to the APIs on your own.

Workato is currently being used by the People Team (HR) and IT for streamlining the automation during the new hire and on-boarding process. At the moment, it automates the creation of all users via a Google Form and creates a calendar invite for Finance, HR, IT, and the hiring manager. We are currently working on expanding it to work with our HRIS.
  • Integrations with lots of different applications
  • Easy learning curve, doesn't take too long to pick up
  • Workato engineers work hard to understand your business processes
  • Not all integrations work as expected, sometimes requiring you to make custom integrations
  • If you have to work with the API of an application, it can be much harder to use without programming experience
  • Pricing is particularly steep
I would say that Workato can find its way into almost every sense of the business. The hard part is getting those non-technical stakeholders to understand automation and how you can integrate applications. Workato would not be appropriate if you do not have many cloud applications or the applications you have do not have APIs or webhook support.
